House Manager / Personal Assistant / Project Manager | San Francisco Peninsula | $150,000 – $180,000 salary range

Private residence is seeking a sharp, proactive, and resourceful House Manager / Personal Assistant to oversee the day-to-day operations of a busy household and provide personal assistance as needed. This is an excellent opportunity for someone seeking a long-term position with a dynamic family of four, including two teenage children. The role is approximately 80% household management and 20% personal assistant support. The ideal candidate is tech-savvy, exceptionally organized, solutions-oriented, and comfortable managing multiple priorities independently while collaborating closely with the Principals, vendors, and contractors. This is a hybrid position based on the San Francisco Peninsula.

What You’ll Do

• Manage day-to-day household operations, ensuring the home runs smoothly, efficiently, and to a high standard.

• Source, vet, and manage vendors and contractors for home maintenance, repairs, and other household needs.

• Own the preventative maintenance calendar, coordinating recurring services, inspections, warranties, seasonal maintenance, repairs, and follow-up.

• Serve as the primary point of contact for household vendors and service providers, managing scheduling, access, bids, work quality, and issue resolution.

• Maintain an organized vendor database, including contacts, service history, contracts, warranties, pricing, and preferred-provider notes.

• Support the sourcing and procurement of furniture, lighting, art, and accessories in collaboration with the Design Principal.

• Track orders from selection through purchase, delivery, and installation, personally inspecting items upon arrival for quality, condition, dimensions, color, and accuracy.

• Coordinate white-glove deliveries, art handling, framing, installation, furniture assembly, and placement, ensuring all items meet the household’s quality and aesthetic standards.

• Serve as the primary liaison between the Principals and contractor for a two-year construction project to build a single-story gym and guesthouse adjacent to the home, helping maintain project timelines and contractor accountability.

• Assist with home organization projects, including closets, storage, digital files, and other household systems.

• Create and maintain household workflows, recurring-task systems, and project trackers using Asana and Notion.

• Maintain accurate digital records and project dashboards, providing the Principals with clear visibility into outstanding decisions, project progress, and completed work.

• Run local errands and take ownership of ad hoc personal and household projects as needed.

• Coordinate personal events ranging from small, intimate gatherings to larger parties.

• Communicate proactively with the Principals, including providing clear end-of-day updates and remaining responsive to urgent household matters when necessary. Regular weekend and after-hours work is not expected, though occasional flexibility is part of the role.

What We’re Looking For

• Bachelor’s degree preferred, ideally in interior design, business, hospitality, supply chain, construction management, or a related field.

• 5–7 years of experience as a House Manager in a high-end private residence.

• Demonstrated experience managing household operations, vendors, preventative maintenance, and household projects.

• Strong organizational and project management skills, with the ability to manage multiple priorities, timelines, and competing deadlines.

• Highly tech-savvy, with strong working knowledge of Google Workspace, Asana, and Notion. Familiarity with Savant and design tools such as Adobe Illustrator or SketchUp is a plus.

• Strong eye for design and aesthetics, with meticulous attention to detail and a high standard for quality.

• Excellent communication, negotiation, and conflict-resolution skills, particularly when managing vendors and contractors.

• Proven ability to create and improve systems, streamline processes, and maintain accurate digital records.

• Proactive, resourceful, and solutions-oriented, with the ability to anticipate needs, identify issues, and independently implement solutions.

• Comfortable taking direction while exercising sound judgment, working autonomously, and communicating proactively with the Principals.

• Hands-on, adaptable, and calm under pressure, with a willingness to manage both high-level projects and day-to-day household details.

• Trustworthy, discreet, and reliable, with a strong understanding of privacy and confidentiality in a private household.

• Career-oriented with a genuine interest in building a long-term relationship with one family. A stable employment history is preferred, ideally with no more than three positions in the past eight years and at least one position lasting four years or longer.

• Comfortable with the flexibility inherent in private service, including occasional schedule adjustments, urgent household matters, and vendor or event-related needs.

Schedule & Location

Monday–Friday, 10:00 AM–6:00 PM, with some flexibility and ability to work OT as needed.

4 days onsite and 1 day working from home mid-week.

Compensation & Benefits

$150,000–$180,000, depending on experience.
