Job DescriptionOverview
Reporting to the Chief People and Culture Officer or designee, the incumbent will partner with other members of the People Services Group (PSG) to ensure the smooth running of HR administrative functions to meet all business needs and goals. Participates in the daily functions of the PSG department, including but not limited to, supporting the other team members, compliance related tasks, data entry, filing, tracking, resume review and phone screenings, assisting in onboarding on new hires, and enforcing company policies and practices.
Essential Functions and Responsibilities
- Works with Compliance or designee to ensure employees are on track for required trainings and maintains accurate records.
- Track health compliance requirements for employees, download yearly screenings and save in the appropriate folder and update HRIS with updated information.
- Participate in the conduct of orientation to new employees and prepare onboarding materials to ensure a positive experience on first day of work and beyond.
- Ensure employee personnel files are following legal and grant requirements.
- Assist in updating the HRIS implementing employment changes, ensuring timeliness and accuracy of entries.
- Assist in organizing and ensuring success of employee activities, monthly staff meetings, and year-end celebrations.
- Assist in the coordination of wellness program activities, rewards, and communications.
- Make sure the PSG recognizes employees’ work anniversaries.
- Assist with special projects (tracking, training, etc.)
- Assist in moving the department over to digital filing.
- Assist in benefit administration and have complete knowledge of the plans and can answer questions regarding medical, dental, vision, 401(k) plan, EAP, FSA, and life insurance.
- Assist and support the monthly auditing of all benefit invoices.
- Post job requisitions when approval has been received.
- Conduct reference checks of potential new hires when needed.
- Assist the team in resume reviews and the phone screening process.
- Support the team with making power point presentations.
- Maintains knowledge of federal, state, and local employment laws and regulations, and recommends best practices; reviews policies and practices to maintain compliance.
- Perform other duties as assigned.
Qualifications
- High School Diploma or GED required.
- Higher education is preferred, with a degree in human resources, Business, or other related fields (experience may be substituted on a year-to-year basis) highly desired.
- Professional certification (HRCI or SHRM) a plus.
- Experience with state and federal labor/employment law, compliance, workforce training and development, employee benefit development and administration are all a plus.
- Must have excellent communication, interpersonal and time-management skills.
- Must have proficiency with basic computer programs.
- Confident using Microsoft Office products like Excel and Power Point a must.
- Hands-on experience with HR software.
- Ability to work effectively with a diverse workforce
Company Requirements
- Must be able to pass a pre-employment drug test, physical, and a background check to include a 7-year criminal, 10-year SSN & employer history reference check.
- Must be able to provide proof of COVID-19 vaccination on the first day of work.

- Must be able to work flexible schedules.
- Must take yearly flu shot or wear flu mask during flu season for patient-facing positions and test for tuberculosis as required by the Centers for Disease Control and Prevention.
