Position Overview
We are seeking a detail-oriented, organized, and responsible Operations Assistant to support our daily business operations.
The primary focus of this position is customer communication and operational support, including responding to customer emails, processing and following up on orders, understanding product information, coordinating shipments, maintaining inventory records, and communicating with internal and external partners.
This is not a desk-only position. The Operations Assistant will also regularly support on-site warehouse activities, including inventory checks, receiving, order preparation, packing, and movement of product cartons.
Bilingual proficiency in English and Mandarin is required.
Job Responsibilities
- Communicate professionally with customers primarily via email, responding to inquiries regarding orders, product availability, product information, shipment status, and delivery updates.
- Process customer orders and follow up throughout the order fulfillment and shipping process.
- Develop a strong understanding of the company's products, including product codes, specifications, packaging configurations, inventory availability, and key product differences.
- Maintain accurate customer order, inventory, and shipment information in ERP/WMS and internal systems.
- Prepare and maintain operational documents, spreadsheets, shipping records, tracking information, and related documentation.
- Monitor inventory levels and coordinate product availability with customer orders and operational needs.
- Coordinate inbound and outbound shipments with freight forwarders, carriers, couriers, vendors, and third-party logistics (3PL) providers.
- Proactively communicate shipment delays, inventory issues, substitutions, or other operational updates to customers and internal teams.
- Coordinate with internal departments, suppliers, and external partners to ensure orders and operational tasks are completed accurately and on time.
- Conduct regular physical inventory counts and assist with inventory reconciliation.
- Provide regular hands-on warehouse support, including receiving, picking, packing, labeling, order preparation, inventory organization, and movement of product cartons.
- Maintain required facility and warehouse records, including temperature, humidity, cleanliness, and other environmental monitoring documentation.
- Assist management with operational reports, data collection, process improvement, and other administrative or operational tasks as assigned.
Requirements
- Bilingual in English and Mandarin is required.
- Strong written English communication skills and the ability to write clear, professional customer emails.
- Strong verbal communication and interpersonal skills.
- Strong organizational and time-management skills.
- High attention to detail and accuracy.
- Ability to learn and understand product specifications, product differences, and packaging configurations.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- ERP or WMS experience is preferred but not required.
- Ability to manage multiple customer requests, orders, and deadlines simultaneously.
- Strong problem-solving skills and ability to independently follow up on operational issues.
- Willingness and ability to regularly work in a warehouse environment in addition to office responsibilities.
- Ability to perform the essential physical functions of the position, including standing, walking, bending, reaching, picking, packing, and safely lifting and moving product cartons as required.
