We are a workers’ compensation law firm seeking a dependable and organized Intake Clerk to support our intake and case-opening process. This position is responsible for screening potential new clients, accurately setting up new cases, preparing and filing documents, requesting records, coordinating medical care, and assisting clients throughout the initial stages of their case.

Responsibilities

  • Screen new leads seeking a consultation by gathering information regarding their injury, employment, and other relevant case details.
  • Meet with potential new clients and existing clients in person and assist with intake-related matters.
  • Create and maintain new client files in the firm's case management system, ensuring accurate and complete data entry.
  • Prepare and file Applications for Adjudication of Claim and other intake-related documents.
  • Request and subpoena records, including employer and wage statements, insurance carrier information, prior attorney files, and medical treatment records.
  • Assist with designating new treating physicians and prepare 4600 letters requesting authorization for medical treatment.
  • Prepare and file Declarations of Readiness to Proceed (DORs) regarding medical authorization issues.
  • Schedule and coordinate medical appointments for clients.
  • Assist clients with applying for Employment Development Department (EDD) benefits.
  • Maintain organized and accurate case information and follow up on outstanding intake and case-opening items.
  • Provide general administrative support related to new and existing client matters.


Required Qualifications

  • High school diploma or equivalent.
  • Bilingual in English and Spanish.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to communicate professionally and compassionately with clients.
  • Ability to manage multiple tasks and follow up on time-sensitive matters.
  • Ability to accurately enter and maintain client and case information.


Preferred Qualifications

  • Previous experience in a law office, administrative intake, or client-facing position.
  • Workers’ compensation experience preferred but not required.
  • Experience with legal case management software is a plus.
