We are seeking an experienced Escrow Assistant to join our dynamic and collaborative team. The ideal candidate is organized, dependable, detail-oriented, and comfortable managing multiple files, deadlines, and priorities in a fast-paced escrow environment.
In this role, you will work closely with Escrow Officers to help manage real estate transactions from opening through closing, ensuring files remain organized, deadlines are met, and clients and transaction partners receive responsive, professional service. The position requires a solid understanding of escrow processes, real estate contracts, financial and legal documents, and applicable compliance requirements.
We are looking for someone who takes initiative, communicates well, enjoys being part of a team, and understands the importance of providing an excellent client experience throughout the escrow process.
Duties (under the supervision of the branch manager)
- Assist in preparing and reviewing escrow documents, including opening packages contracts and CD's and other paperwork.
- Coordinate with lenders, real estate agents, and clients to ensure all necessary documentation is collected and processed efficiently.
- Prepare escrow instructions, grant deeds, estimates and amendments
- Communicate effectively with all parties involved in the transaction to provide updates and resolve any issues that may arise.
- Support the escrow officer in managing timelines and deadlines for closing transactions.
- Process and package loan documents
- Collaborate with team members on front and back office duties such as daily banking, mail runs, supply orders, filing, boxing files for scanning and other duties as assigned.
Skills and Requirements
- Minimum of 2–3 years of experience working in an escrow office required.
- Strong working knowledge of escrow processes, procedures, and transaction workflows.
- Proficient understanding of real estate contracts and documents related to escrow transactions.
- Experience working in a paperless escrow environment and comfortable navigating digital files and workflows.
- Familiarity with RBJ Edge and/or RBJ Evolution is a plus.
- Working knowledge of banking procedures related to escrow accounts, deposits, and disbursements.
- Excellent written and verbal communication skills, with a strong commitment to providing exceptional customer service.
- Highly organized and detail-oriented, with the ability to maintain accurate files, records, and documentation.
- Ability to manage multiple files, deadlines, and priorities in a fast-paced escrow environment.
- Strong team player who works collaboratively and communicates effectively with escrow officers, assistants, clients, agents, lenders, and other transaction partners.
- Dependable, proactive, and self-motivated, with a positive attitude and willingness to take initiative.
- Friendly and professional demeanor when interacting with clients and industry partners.
- Flexible and adaptable, with the ability to shift priorities and assist where needed as transaction demands change.
