Our client, a government organization in Oakland, is looking for a talented Executive Assistant to join their team on a contract basis. Ideal candidates will have experience performing a wide variety of confidential and complex administrative and office support duties, including managing calendars, preparing and editing correspondence and reports, handling phone calls and other administrative duties as needed.
RESPONSIBILITIES:
• Manage complex, high-volume calendaring for Executive management.
• Support daily administrative operations of the executive office.
• Coordinate meetings, agendas, and follow-ups.
• Prepare, proofread, and edit reports, presentations, and documents.
• Work extensively in MS Office, with a focus on Excel and PowerPoint.
• Edit and format documents using Adobe tools.
• Manage and track staff reports using internal system (Registrar – training provided).
• Handle incoming calls and communications with professionalism.
• Interface with internal teams and external stakeholders.
• Acts as liaison between executive management, legal counsel, Human Resources, and labor relations staff on confidential matters.
• Monitors and reconciles expenses for the assigned executive or Board Officer.
QUALIFICATIONS:
• 6+ years of EA experience supporting a C-suite individuals is preferred.
• Experience in public sector or transportation environments is a plus.
• Quick learner with ability to adapt to internal systems and processes.
• Strong administrative support experience at executive level preferred.
• Advanced MS Office skills (Excel, Word, PowerPoint).
• High attention to detail with strong proofreading ability.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking capability.
• Professional phone presence and interpersonal skills.
• Ability to work onsite and manage a fast-paced workload.
PHYSICAL REQUIREMENTS:
• May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.
• Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.
• Must be able to bend at the knees and waist frequently
• Must be able to repetitively use a telephone and a computer mouse and keyboard.
