Position Overview

We are seeking a highly organized, detail-oriented, and dependable HR Administrative Assistant to join our team. The ideal candidate will have experience in Human Resources, preferably within a legal or professional services environment, and will be comfortable balancing administrative responsibilities, employee support, and special projects.

This position is ideal for someone who enjoys staying organized, working with people, managing multiple priorities, and taking ownership of projects from start to finish. The successful candidate will be able to work independently while also collaborating effectively with a team.

Key Responsibilities

  • Assist with employee personnel files, and HR documentation.
  • Understand how to complete verifications of employment and answer unemployment claims.
  • Primary liaison between the Legal department and HR regarding requests and special projects.
  • Maintain accurate and confidential employee records and information.
  • Prepare reports, spreadsheets, correspondence, and other HR-related documents.
  • Assist with tracking employee information, deadlines, training, certifications, and other HR requirements.
  • Support HR projects and initiatives, including research, organization, data collection, and implementation.
  • Use Excel to maintain, organize, and analyze HR data and create reports.
  • Serve as a professional and responsive point of contact for employees regarding routine HR questions and administrative needs.
  • Work collaboratively with HR and other departments while also taking initiative and independently managing assigned responsibilities.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Perform other administrative and HR-related duties as needed.

Qualifications

  • 2+ years of Human Resources experience preferred, or relevant experience in a legal, law firm, or professional services environment.
  • Experience in a legal field or law firm is strongly preferred but not required.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Excel, including organizing data, creating spreadsheets, and working with reports.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Comfortable working independently with minimal supervision while also being an effective team member.
  • Strong problem-solving and follow-through skills.
  • Ability to handle confidential and sensitive information appropriately.
  • A proactive attitude with a willingness to take ownership of projects and see them through to completion.
  • Professional, approachable, and service-oriented demeanor.

Physical Requirements

  • Ability to sit and work at a desk for extended periods of time.
  • Ability to use a computer, keyboard, mouse, telephone, and other standard office equipment on a regular basis.
  • Ability to frequently communicate verbally and in writing with employees, managers, clients, and internal team members.
  • Ability to read and review documents, forms, computer screens, and other written materials for extended periods.
  • Ability to occasionally stand, walk, bend, reach, and move throughout the office.
  • Ability to occasionally lift and carry office supplies, files, or equipment weighing up to approximately 25 pounds.
