We are seeking an organized, proactive, and detail-oriented Project Coordinator to join our corporate headquarters team in Arcadia, CA. In this role, you will provide comprehensive operational and administrative support across multi-departmental initiatives and execute special projects directed by executive and senior leadership.
This is a temporary engagement with strong potential to convert into a permanent, long-term role for a high-performing professional who demonstrates ownership, agility, and exceptional follow-through.
Key Responsibilities

Executive & Special Project Execution: Coordinate, track, and execute special projects assigned directly by senior leadership from inception to completion.

Operational & Administrative Support: Manage daily corporate administrative workflows, including document preparation, records management, presentation decks, data entry, and status reporting.

Cross-Departmental Collaboration: Liaise between corporate departments, on-site teams, vendors, and external partners to ensure timely deliverables and alignment with leadership objectives.

Schedule & Milestone Tracking: Maintain project timelines, deliverables, action-item logs, and follow-ups to ensure key corporate milestones are met on schedule.

Meeting Facilitation: Assist in preparing agendas, gathering meeting assets, taking concise minutes, and tracking post-meeting deliverables for executive-level meetings.

Process Improvement: Identify opportunities to streamline administrative processes and enhance workflow efficiency across corporate operations.
Qualifications

Experience: 1–3 years of experience in project coordination, executive administration, or corporate operational support.

Education: Associate degree or Bachelor's degree in Business Administration, Communications, Management, or related field preferred (equivalent practical experience considered).

Software Proficiency: Advanced proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and collaboration/project tools.

Communication: Excellent written and verbal communication skills suitable for regular interaction with executive-level stakeholders.

Organization & Detail: Strong organizational, analytical, and multitasking capabilities with proven ability to prioritize competing deadlines in a fast-paced environment.
