Tax Operations & Technology Coordinator

Job Description

AB Tawil & Associates, a growing San Diego CPA firm, is looking for a highly organized, proactive, and technology-oriented professional to join our team as a Tax Operations & Technology Coordinator.

This is not primarily a tax preparation position. This role is responsible for helping manage the operational workflow of our Tax Department, keeping work moving, monitoring deadlines and workloads, identifying bottlenecks, following up with team members, improving processes, and helping the firm implement new technology.

We are looking for someone who takes ownership. When something is falling behind, the right person does not simply report the problem. They want to understand why it is happening, who needs to take the next action, what can be done to resolve it, and when to follow up again.

\n

What Work You Will be Responsible For:

\n

    \n
  • Coordinate tax work assignments, priorities, deadlines, and workload across the Tax Department.
  • \n

  • Monitor tax preparation, review queues and identify potential capacity issues before they affect deadlines.
  • \n

  • Maintain the Tax Department deadline tracker, tax compliance calendar, project statuses, and workflow information.
  • \n

  • Lead daily Tax Department workflow meetings during designated periods.
  • \n

  • Conduct weekly individual workflow meetings with Tax Preparers to review open projects, deadlines, priorities, missing information, capacity, and commitments.
  • \n

  • Identify workflow bottlenecks and follow up until they are resolved or appropriately escalated.
  • \n

  • Monitor operational processes involving client document requests, extensions, estimated tax payments, signatures, e-filing, and client follow-up.
  • \n

  • Monitor compliance with established Tax Department procedures and follow up when processes are not being followed.
  • \n

  • Analyze Tax Department KPIs, workload information, and status reports to identify problems and coordinate corrective actions.
  • \n

  • Coordinate staff training schedules and monitor completion in collaboration with Tax Managers.
  • \n

  • Help improve and document Tax Department processes, procedures, checklists, and workflows.
  • \n

  • Research technology that could improve our tax practice, including AI, OCR/data-entry automation, workflow automation, and tax productivity tools.
  • \n

  • Coordinate software demonstrations, pricing comparisons, pilot programs, implementation plans, staff training, and adoption of approved technology.
  • \n

  • Evaluate whether implemented technology and process improvements are producing measurable results.
  • \n

Our Tax Managers remain responsible for technical tax review, tax research, technical tax training, and technical tax decisions. This position focuses on operations, workflow, accountability, technology, and continuous improvement.

  • Learns software quickly and has a strong interest in technology, AI, automation, and process improvement.
  • \n

  • Has the judgment to recognize when an issue is operational and when it needs to be escalated to a Tax Manager or the CEO.

Qualifications:

\n

    \n
  • Bilingual English and Spanish is required.
  • \n

  • Bachelor’s degree in Administration, Business or similar.
  • \n

  • At least 3 years of experience on a similar position.
  • \n

  • Experience in a CPA firm, tax practice, accounting firm, or similar deadline-driven professional-services environment is strongly preferred.
  • \n

  • Experience with tax workflow, project management, practice-management software, UltraTax, Onvio, Excel, or similar systems is helpful, but no required.
  • \n
