Job Overview:
We are seeking a motivated, organized Receptionist/Administrative assistant to support our team! Candidates should be comfortable organizing and analyzing large volumes of data & reports in hard copy and electronic format. Good communication and teamwork skills are a must as the candidate will be liaising with our business manager, accounts payable administrator, and various project assistants.
Key Responsibilities:
- Operate a multi-line phone system; screen and forward calls to appropriate parties, take messages as needed
- Answer inquiries/provide information to vendors, customers, and general public
- Greet guests, determine nature/purpose of visit, and direct to appropriate location
- Assist accounting department with tasks such as: organizing electronic files and scanning/uploading vendor invoices
- Manage heavy volume of incoming & outgoing mail; filter/disseminate mail as instructed
- Maintain inventory and order office supplies
- Various other duties as assigned
Key Skills & Qualifications:
- Minimum 1 yr. experience as receptionist with heavy phone/multi-line experience
- Excellent verbal communication and interpersonal skills
- Desire to be proactive and create a positive experience for vendors, customers & general public
- Proven time management skills and ability to prioritize
- Assists team members to accomplish team goals
- Familiarity with Microsoft Office and Google Docs
- High school diploma/GED required
- Construction industry experience, a plus
- Bilingual (Spanish), desirable
