Job DescriptionSalary: $85,000 annually
SFJAZZ is looking for a passionate and experienced arts administrator and music lover to oversee the day-to-day Education department operations. This role works closely with the Director, Education and CE to ensure the department runs smoothly, integrating across all SFJAZZ departments and ensuring accountability and efficiency. As a critical anchor for the team, the Education Department Manager oversees event scheduling and projectmanagement, accounts payable and receivable,contractsand other document tracking.The Education Department Manager is also responsible for oversight of SFJAZZs School Programs, which includes liaising with school district officials, management and training of the On-Call Teaching Artists, and data reporting critical to the organizations fundraising and evaluation goals.
Responsibilities:
- Accomplishes SFJAZZ Education departmentobjectivesandoverseescompletion of key deliverables to all stakeholders
- Manages and tracks alldepartmentcontracting,invoices, paymentsandscheduling
- Processes and tracks all artist contracts
- Manages alldepartment eventbookingsandfacilitateseventallocationsusingArtifaxsoftware
- OverseesSchool Programs staff by recruiting,selectingand training new employees,and developing personal growth opportunities
- Stewardsandmaintainsrelationshipswith external partners, including school district officials
- Supports the Director in budget creation, oversiteand reforecasting
- Project managesall department events, including contracts, payments, pre and post communication, surveyanalysesandlogisticswithother key stakeholders (cross-functional)
- Managesinternal department calendar and all cross-functional meetings using Asana and calendaring software
- Coordinates,submitsand tracks all department marketing requestsusing Asana
- Representsthe department at weekly interdepartmental meetings
- Maintains andsubmitsstatistical data to Devo and Finance teams
- Coordinates scheduling of monthly department Newsletter in Asana
- Takes meeting notes, following up on actionitemsand calendaring as needed
- Oversees departmental surveys and document management
- Updatesdepartmentcontact listsregularly usingTessitura andExcel Docs
- Maintainsmailing listsand class lists using Tessitura software
- Proofreads marketing and website materials
- Maintains guest listsfordepartmenteventswith support from the Box Office team
- Coordinatesdepartmentoffsite meetings, PDs,workshopsand staff retreats
- Provides cross-departmental support for On Saleevents, Gala(Tessitura interface, cross-functional)
- Assistsat department events as needed (both on and off-site)
- Other duties as assigned
Qualifications:
- Must be able to multitask, be thoroughly organized, detail-orientedand deadline driven
- Excellent computer skills needed; must be able to work independently and with limited input
- Excellent written and verbal communication skills
- Excellentproject-management,organizational and time management skills
- Positive outlook with problem solving skills
- Strong knowledge of MS Office 360, Asana, andArtifax
- Experience using Tessitura (orcommensurateknowledge of a similar database)
- Ability to read music a plus but not necessary
- Detail-oriented, excellent proofreading skills
- Ability to write a professional and clear email to a variety of clients
- Non-profit and/or Performing Arts background
- Minimum of 5 years, including administrative management experience
- Basic music and music industry literacy a plus
- Multilingual or bilingual (Spanish-English) a plus
- College degree preferred
Working Conditions
This position isrequiredtobeon-siteaminimumof3days/week. SFJAZZ produces events andperformances at all times of the day/week. Evenings/weekends may berequired. Light travel may berequiredfor this position.
