Job DescriptionWe are looking for a Contract Human Resources (HR) Assistant to support day-to-day people operations in San Francisco, California. This role will help coordinate recruitment, onboarding, and employee support activities while keeping records accurate and processes on schedule. The ideal candidate is highly organized, responsive, and comfortable managing multiple priorities in a fast-moving environment.
Responsibilities:
• Partner with recruiting and training teams to coordinate HR activities from pre-boarding through offboarding and help keep each stage moving efficiently.
• Manage and follow up on operational requests through Zendesk, ensuring issues are tracked, updated, and resolved in a timely manner.
• Share internal career opportunities with employees, maintain external job board postings, and keep recruitment tracking documents current.
• Update job advertisements with tailored screening questions and prepare interview materials to support a consistent recruitment process.
• Coordinate with recruitment leaders to provide interview panels with schedules, candidate information, feedback forms, and other required materials before interviews.
• Deliver a positive candidate experience by communicating status updates promptly and helping applicants navigate the interview process.
• Organize new employee schedules, employee resource materials, and cross-functional onboarding touchpoints with teams such as IT, Operations, and Training.
• Follow up on background checks, reference checks, and new employee documentation to help ensure all pre-employment requirements are completed on time.
• Support onboarding and offboarding administration by processing paperwork, maintaining HRIS records, assisting with I-9 completion, and handling termination notifications with confidentiality.
• Experience supporting HR administration, recruiting coordination, or onboarding activities in a structured work environment.
• Working knowledge of ATS platforms and the ability to maintain accurate employee and candidate records.
• Familiarity with onboarding processes, background checks, document collection, and employment compliance tasks.
• Strong organizational skills with the ability to manage multiple assignments and meet deadlines in a fast-paced environment.
• Clear written and verbal communication skills, with a focus on effective communication and timely follow-up.
• Ability to handle sensitive employee information with discretion and maintain confidentiality.
• Collaborative approach to working with hiring managers, candidates, and cross-functional support teams.
