This is a remote position.

The Medical Transportation Coordinator is responsible for coordinating safe, timely, and reliable transportation services for patients traveling to and from medical appointments, hospitals, rehabilitation facilities, pharmacies, and other healthcare-related destinations. This position serves as a key point of contact between patients, healthcare providers, transportation providers, drivers, caregivers, and insurance or managed-care organizations.

The Medical Transportation Coordinator ensures that transportation requests are scheduled accurately, patient needs are communicated clearly, transportation providers are properly assigned, and changes or emergencies are handled promptly. The coordinator must maintain accurate records while protecting patient confidentiality and providing compassionate, professional customer service.

Key Responsibilities

Receive, review, and process transportation requests from patients, healthcare providers, care managers, hospitals, facilities, and other authorized parties.
Schedule and coordinate non-emergency medical transportation (NEMT) services based on appointment times, patient needs, and transportation availability.
Arrange appropriate transportation based on the patient's mobility and medical requirements, including ambulatory, wheelchair, stretcher, or other authorized transportation services.
Confirm patient pickup and drop-off locations, appointment times, contact information, mobility requirements, and special transportation instructions.
Coordinate transportation schedules with drivers, transportation companies, medical facilities, patients, family members, and caregivers.
Monitor scheduled trips and follow up on delays

Requirements

1–2 years of experience in medical transportation, healthcare, scheduling, dispatching, customer service, or a related field preferred.
Experience with Non-Emergency Medical Transportation (NEMT) is a plus.
Strong communication and customer-service skills.
Excellent organizational and time-management abilities.
Ability to coordinate multiple trips, appointments, drivers, and transportation providers simultaneously.
Strong attention to detail when entering patient, appointment, authorization, and transportation information.
Basic computer proficiency, including Microsoft Office, email, databases, and scheduling/dispatch software.
Ability to learn and operate transportation management or scheduling systems.
Knowledge of patient confidentiality and HIPAA requirements.
Ability to handle sensitive patient information professionally and securely.
Ability to remain calm and professional when dealing with delays, cancellation, complaints, or last-minute changes.
Ability to work independently and effectively as part of a team.
Reliable attendance and punctuality.
Ability to work flexible hours, including evenings, weekends, or holidays when required.
Bilingual or multilingual skills are preferred, depending on the patient population.
Knowledge of local streets, facilities, hospitals, clinics, and transportation routes is a plus.
Must pass any required background checks, employment screening, or company-required training.
