Offit Kurman is an AmLaw 200 firm, seeking an Office Services Associate for their Century City, CA office. The Office Services Associate supports daily office operations across facilities, mail and shipping, records, reprographics, reception, hospitality, supplies, and basic technology support. The role provides responsive on-site service to employees, clients, visitors, vendors, and building personnel while helping maintain an organized, secure, and service-focused workplace.

Responsibilities:

Office Services & Facilities Coordination

  • Serve as a primary contact for office service requests, employees, clients, visitors, vendors, and service providers.
  • Coordinate daily office services priorities and escalate service issues, risks, and follow-up needs.
  • Manage inventory, ordering, and centralized storage for office, pantry, copy room, and hospitality supplies.
  • Set up and break down conference rooms and refresh supplies and beverages.
  • Produce copies, print files, and assist with binding services as requested.
  • Coordinate maintenance requests with building management and vendors.
  • Support office moves, furniture needs, workstation setup, signage, badges, and nameplates.

Technology and Equipment Support

  • Provide first-level copier support, stock supplies, post outage signage, and coordinate service calls.
  • Set up, test, operate, and troubleshoot audiovisual equipment for meetings and events.
  • Coordinate with the Help Desk on office-specific hardware and connectivity issues.
  • Set up desktop hardware and peripherals for new users and tear down departing-user workstations.
  • Provide basic on-site desktop support and remote-hands assistance for IT escalations.

Reception & Hospitality

  • Greet visitors and answer calls promptly, politely, and professionally.
  • Provide reception coverage and related administrative support as assigned.
  • Protect Firm and client confidentiality and complete required training.
  • Keep pantry and kitchen areas clean, stocked, organized, and presentation-ready.
  • Support catering, conference room setup, meeting hospitality, and food and beverage service.

Mail, Shipping, and Courier Services

  • Process incoming and outgoing mail, packages, freight, courier deliveries, and carrier pickups.
  • Receive, sort, scan, track, and distribute mail and accountable packages.
  • Assist with packing, shipment tracking, delivery issues, messenger services, and local deliveries.

Records Management

  • Maintain records in accordance with Firm retention requirements.
  • Assist with file creation, check-in/check-out, box submissions, retrievals, imaging, lateral intake, departing attorney files, and approved destruction.
  • Maintain clean and orderly records rooms and coordinate the servicing of secure shred bins.

Requirements:

  • Client-first, service-oriented approach and professional judgment.
  • Clear and professional verbal and written communication skills.
  • Ability to manage priorities in a fast-paced environment and adapt to changing needs.
  • Accuracy, attention to detail, discretion, accountability, and follow-through.
  • Ability to troubleshoot routine issues and escalate specialized matters.
  • Ability to set up computer hardware and troubleshoot basic issues with Windows systems, printers, docking stations, and common office technology.

Qualifying Experience:

  • High school diploma or equivalent required; college coursework or degree preferred.
  • Law firm, professional services, or client-focused office experience preferred.
  • Proficiency with Microsoft Office applications and standard office equipment.
  • Experience with mail, shipping, copying, scanning, conference rooms, workplace services, and basic audiovisual support.
  • Ability to maintain Firm and client confidentiality and security.

Supervisory ResponsibilitiesNo direct supervisory responsibilities. May coordinate vendors and provide task guidance or training to temporary or backup personnel as assigned.Physical Requirements and Work EnvironmentPhysical Requirements Regular standing, walking, sitting, bending, kneeling, pushing, pulling, reaching, speaking, and hearing. The role involves moving supplies, packages, furniture, equipment, files, and meeting materials and may require safe use of step stools or ladders.

Work Environment On-site professional office environment with regular use of computers, copiers, scanners, shipping equipment, audiovisual equipment, and other office devices. The role requires interaction with employees, clients, visitors, vendors, and building personnel. Noise levels are generally moderate.
