FULL DESCRIPTION: We are seeking an Administrative Assistant to support administrative, customer service, permit processing, front counter, phone, public records, and general office functions in a municipal environment. This temporary assignment is expected to last approximately 3 to 6 months and is responsible for answering and routing calls, assisting customers at the front counter, processing assigned permit applications, supporting routine end-of-day processing, assisting with public records requests, performing basic website updates, backing up staff, and supporting City projects as needed. The ideal candidate will have strong customer service skills, administrative experience, excellent communication skills, and familiarity with Accela, permitting, or municipal procedures.
The selected candidate will be responsible for:
- Answering and routing incoming phone calls
- Providing front counter customer service and assistance
- Supporting customer service needs in a public-facing municipal environment
- Processing assigned new permit applications
- Assisting with permit processing procedures and related administrative follow-up
- Completing routine end-of-day processing tasks
- Assisting with public records requests
- Performing basic website updates as needed
- Providing backup support to other staff as needed
- Assisting with City projects depending on the complexity of the assignment
- Performing data entry, filing, document processing, and general administrative tasks
- Providing scheduling support and coordination with internal staff
- Assisting with department programs and public outreach activities as needed
- Supporting community events as needed
- Maintaining accurate records, documents, and customer information
- Communicating professionally with staff, customers, departments, and members of the public
- Following department procedures, timelines, and administrative processes
- Performing other duties as assigned
The selected candidate will also possess:
- Prior administrative assistant experience preferred
- Prior customer service experience required
- Municipal, government, public-facing, permitting, or similar experience preferred
- Knowledge of Accela permitting software preferred
- Familiarity with permit processing procedures preferred
- Customer service experience in a municipal environment preferred
- Strong administrative skills required
- Strong organizational skills required
- Professional written and verbal communication skills required
- Phone etiquette and call routing experience required
- Front counter or reception experience preferred
- Data entry experience required
- Filing, document processing, and records support experience preferred
- Public records request experience preferred
- Basic website update experience preferred
- Ability to support staff backup needs and City projects as assigned
- Ability to interact professionally with members of the public
- Ability to maintain accuracy and attention to detail while handling permits, records, documents, and customer requests
- Ability to work onsite in Perris, CA
- Ability to support a temporary assignment expected to last approximately 3 to 6 months
Physical Requirements:
- Ability to sit and work at a computer for extended periods while entering data, processing documents, reviewing records, updating information, and completing administrative tasks
- Ability to communicate by phone, email, and in person throughout the workday
- Ability to assist customers at a front counter and provide public-facing support as needed
- Ability to review permit applications, public records requests, department documents, website information, customer records, and computer screens for extended periods
- Ability to use hands and fingers for typing, data entry, filing, scanning, printing, phone use, and standard office tasks
- Ability to occasionally stand, walk, bend, reach, and move throughout the office or public counter area as needed
- Ability to occasionally lift, carry, or move standard office files, documents, supplies, or small materials
- Ability to maintain professionalism, accuracy, confidentiality, and attention to detail while supporting public-facing administrative functions
